Facilities Operations Specialist

About the role

The Facilities Operations Specialist will support the Facilities Manager in overseeing day‑to‑day operations across WeWork locations. This role ensures that building systems, cleaning services, health & safety standards, and vendor performance meet the company’s quality and budget expectations.

Key responsibilities

• Conduct daily site inspections to identify and resolve technical issues, broken furniture, or cosmetic damage.
• Coordinate third‑party vendors to execute the annual maintenance plan for HVAC, electrical, fire, lighting, and plumbing systems.
• Supervise cleaning staff, deep‑cleaning projects, pantry and restroom inventory, and waste‑sorting compliance.
• Manage vendor contracts, obtain multiple quotes for repairs or purchases, raise purchase orders, and verify SLA compliance before payment.
• Monitor weekly OPEX spending, cross‑check invoices against completed work, and keep the building within budget.
• Perform monthly health‑and‑safety checks of fire extinguishers, first‑aid kits, and evacuation signage.
• Ensure contractor access is controlled and that required insurance documentation is on file.
• Resolve member support tickets within 24 hours.

Required profile

• Proven experience in facilities or building operations, preferably in a multi‑site environment.
• Strong organizational abilities and attention to detail for managing inspections, inventories, and documentation.
• Ability to work with external vendors and internal stakeholders to meet service standards.
• Comfort with budget tracking and invoice validation.
