About the role
The Executive Assistant will support the Country Manager and other C‑Level leaders in Santiago, Chile, providing comprehensive administrative and operational assistance in a fast‑paced international environment.
Key responsibilities
- Manage dynamic calendars, schedule meetings, and coordinate strategic business activities for the Country Manager and designated executives.
- Prepare agendas, logistics, briefing materials, and follow‑up on action items for internal and external meetings.
- Act as liaison between executives and stakeholders, handling correspondence, emails, calls, and requests with professionalism and confidentiality.
- Draft, proofread, and review communications and documentation in English and Spanish.
- Arrange domestic and international travel, including flights, accommodation, visas, itineraries, and handle any travel‑related changes.
- Support logistics for visiting executives, leadership meetings, customer meetings, conferences, workshops, and company events.
- Take meeting minutes when required and ensure follow‑up on key actions.
- Maintain accurate records, filing systems, and confidential documentation.
- Assist with expense reporting, invoice coordination, purchase orders, and other administrative processes.
- Collaborate with cross‑functional teams such as HR, Finance, IT, Facilities, Sales, and regional/global teams.
Required profile
- Minimum 5 years of experience supporting senior leadership or C‑Level executives in multinational or fast‑paced corporate settings.
- Advanced bilingual proficiency in English and Spanish, both written and spoken.
- Strong business judgement, proactive attitude, and ability to manage multiple priorities.
