Project Support Assistant

About the role

GHD is seeking a Project Support Assistant to ensure the accuracy and integrity of project financial data and to support timely client invoicing. The role works closely with project managers, directors, and external client accounting teams to promote the financial success of projects.

Key responsibilities

• Review draft contracts for invoicing terms, project costing, retention, prevailing wage, sub‑consultant rates, and unit pricing.
• Provide historical project data and charge rates for fee estimates and proposals.
• Act as primary contact for client accounting staff, answering financial data inquiries and delivering exceptional customer service.
• Set up and maintain project and client billing information in the accounting system, ensuring accurate cost tracking for revenue recognition.
• Reconcile, inactivate, and close project data as required.
• Assist with timesheet verification, billing data provision, and collection calls on outstanding debts.
• Prepare, review, and distribute accurate client invoices, attaching all required backup documentation.
• Archive invoices and maintain clear communication with client accounting contacts.
