Team Assistant – Administrative Support

About the role
The Economic Commission for Latin America and the Caribbean (ECLAC) is seeking a Team Assistant to provide comprehensive administrative support within its Human Resources Section. Reporting to the Associate Staff Development Officer, the role contributes to the smooth operation of the unit and supports the Commission’s mission of regional economic and social development.
Key responsibilities
- Perform a wide range of office support and administrative functions, including handling routine correspondence and drafting documents.
- Monitor schedules, processes and unit outputs, ensuring required approvals and compliance with legal and financial standards.
- Research, compile and organize information for reports, work plans, studies and briefings.
- Generate standard statistical reports and work orders using various databases.
- Proofread and edit documents for accuracy, grammar, punctuation, style and format.
- Screen phone calls and visitors, respond to information requests and refer inquiries as needed.
- Provide secretarial, logistical and administrative support for meetings, boards, committees and conferences.
- Assist in website maintenance by scanning, converting and posting documents.
- Prepare presentation materials using appropriate software and technology.
- Maintain calendars, monitor changes and communicate relevant information to staff.
- Perform data entry, extraction, mail handling and follow‑up on pending actions.
- Update distribution lists, prepare and distribute materials, arrange printing, translation and courier services.
Required profile
- Proven experience in office support or administrative roles.
- Strong written communication skills in English.
- Excellent organizational abilities and attention to detail.
- Capacity to work independently and coordinate with multiple stakeholders.
Required skills
- Proficiency with standard word processing software.
- Experience using databases for report generation.
- Basic website content management skills.
- Ability to create presentation materials using common software tools.
