Senior Bookkeeper

About the role

We are looking for a senior bookkeeper to lead the financial operations of the CEO’s business and personal accounts. This full‑time remote role requires close collaboration with external accounting partners, the internal operations team, and the financial controller to ensure smooth, accurate bookkeeping across multiple entities and projects.

Key responsibilities

• Manage weekly payment approvals and invoice processing using QuickBooks.
• Coordinate with external controllers for payment runs, coding, and vendor contracts.
• Maintain the finance inbox, track accounts payable/receivable, and produce weekly AP, AR, and balance‑sheet reports.
• Reconcile accounts, credit cards, and recurring transactions, flagging uncategorized or missing entries.
• Organize and store key financial documents (contracts, insurance, SPV paperwork) in Google Drive.
• Support tax deadlines, quarterly filings, and audit preparation in partnership with ops and compliance.
• Track SaaS subscriptions, identify duplications or overspending, and assist with contract renegotiations.
• Serve as the primary contact for finance‑related documentation, handling requests from tax firms, CPAs, and legal partners.
• Ensure internal systems (QuickBooks, Drive, ClickUp) accurately reflect vendor inputs and financial data.

Required profile

• 5+ years of experience in bookkeeping, finance operations, or multi‑entity accounting.
• Proven experience supporting external controllers, tax advisors, and audit teams.
• Strong attention to detail and ability to work independently in a remote environment.
• Availability to align with Pacific Standard Time working hours.
