Legal Intake Specialist (Remote, US Law Firm)

About the role

The Legal Intake Specialist will be the first point of contact for clients of a U.S. personal injury law firm. Working fully remotely, you will ensure that client inquiries are handled promptly, professionally, and with empathy, supporting the intake manager and legal team throughout the onboarding process.

Key responsibilities

• Answer inbound and make outbound calls, providing clear information and compassionate service.
• Schedule appointments, give case status updates, and follow intake scripts.
• Conduct preliminary case screenings to determine eligibility.
• Accurately record client data in the firm’s case management system.
• Manage follow‑ups to improve intake conversion rates.
• Coordinate communication between clients, attorneys, and case managers.
• Escalate urgent or sensitive matters to the appropriate team members.

Required profile

• Minimum 1 year experience in intake, customer service, call‑center, or administrative roles, preferably within a U.S. law firm.
• Excellent English written and verbal communication skills.
• Ability to multitask in a high‑volume, fast‑paced environment.
• High empathy, patience, and professionalism when dealing with distressed clients.
• Strong attention to detail and accurate data entry.
• Self‑motivated, able to work independently and follow structured workflows.

Required skills

• Proficiency with Microsoft Office.
• Experience using CRM or case management software.
