Clinical Secretary – Surgical Directorate

About the role

The Clinical Secretary provides comprehensive administrative support to a team of clinicians within the Surgical Directorate, ensuring smooth patient pathways and efficient clinic operations. Working to standard operating procedures, the role can be offered on a permanent or fixed‑term basis.

Key responsibilities

• Type dictated clinical letters, discharge summaries, referral reports and meeting minutes.
• Prioritise workload to meet agreed service standards and deadlines.
• Organise and re‑arrange clinical activities such as outpatient clinics and operating lists.
• Support theatre scheduling and coordinate investigative tests and appointments.
• Follow up administrative tasks, chase diagnostic results and anticipate scheduling conflicts.
• Maintain accurate, coded records on electronic systems (e.g., Trakcare) to capture patient journey information.

Required profile

• SVQ Level 2 qualification or equivalent experience.
• Minimum 2 years experience in healthcare administration or 3 years in a secretarial role.
• Good understanding of medical terminology.
• Evidence of effective teamwork and ability to adapt to change.
• Strong communication skills with patients, clinicians and colleagues.

Required skills

• Proficiency with electronic patient record systems (e.g., Trakcare).
• Excellent typing speed for dictated clinical documentation.
• Ability to schedule and coordinate clinical and theatre activities.
