Health Records Clerical Officer – Part‑time (12 hrs/week)

About the role

This part‑time position (12 hours per week) works on a rotating weekend shift at Victoria Hospital, Kirkcaldy. The role provides essential administrative support to the Health Records Department, covering A&E and the Minor Injuries Unit (MIU) and ensuring accurate patient attendance and admission records.

Key responsibilities

• Operate on a weekend shift pattern with enhanced pay rates.
• Record patient attendance and admissions using the Trakcare system.
• Provide front‑line service to patients and relatives, handling anxious or upset individuals with empathy.
• Run reports, update data, and prepare/scan medical case notes and ED cards for upload to the clinical portal.
• Answer Switchboard calls, respond to pager and emergency requests, monitor alarms, and offer telephony support to NHS staff and the public.
• Assist Health Records Supervisors with ad‑hoc duties to maintain 24/7 service efficiency.

Required profile

• Standard Grade (or equivalent) with passes in English and Arithmetic.
• Strong written and oral communication skills.
• Good keyboard/typing ability and the capacity to work independently and as part of a team.
• Excellent organisational, listening, and flexible working approach.

Required skills

• Proficiency with the Trakcare clinical system.
• Experience using NHS Switchboard/telephony services.
• Data entry, report generation, and scanning/uploading of documents.
