Key responsibilities
- Manage California workers' compensation cases day to day, keeping them progressing with timely follow-ups and clear next steps.
- Give injured workers regular case updates in English and Spanish, answer routine questions and follow up on treatment participation.
- Coordinate appointments, treatment plans, referrals and follow-ups with healthcare providers.
- Monitor authorization requests, utilization reviews and outstanding responses, escalating unresolved barriers to attorneys.
- Move outstanding claims toward resolution through communication with insurance adjusters, claims administrators, medical providers and attorneys.
- Prepare, review and organize claim forms, medical reports and supporting records.
- Keep deadlines, hearings and required filings on track under California workers' compensation procedures.
- Gather documentation and identify missing records or unresolved issues to help attorneys prepare cases.
- Maintain accurate case information in the firm's cloud-based system, including communications, treatment status, deadlines and outstanding actions.
- Coordinate with the administrative support team on filings and back-office work while keeping ownership of client communication and case progression.
Required profile
- Prior hands-on U.S. personal injury case management experience, beyond administrative filings.
- Workers' compensation case management experience and practical knowledge of California claims procedures, insurance claims administration and WCAB processes.
- Understanding of medical treatment coordination, authorization requests, utilization review and claims follow-up.
- Strong communication skills in English, able to explain case updates clearly and communicate empathetically with injured workers.
- Availability during Pacific Time business hours.
- Nice to have: direct experience independently managing California cases, experience with cloud-based legal case management software, and experience working alongside a dedicated filings or back-office team.
