Clinical Secretary – Surgical & Critical Care

About the role

The Clinical Secretary provides essential administrative support to surgical and critical care teams within NHS Lanarkshire. Working a 20‑hour week across four days, you will ensure smooth clinical workflows and accurate patient documentation.

Key responsibilities

• Type dictated clinical letters, discharge summaries, clinic follow‑ups, referrals and legal reports.
• Prepare meeting minutes and maintain accurate electronic patient records (e.g., Trakcare).
• Organise and re‑arrange clinical activities such as outpatient clinics and operating lists.
• Support theatre scheduling and manage diary arrangements for clinicians.
• Handle administrative tasks including booking appointments, arranging investigations and chasing diagnostic results.
• Respond to telephone and face‑to‑face enquiries from staff, patients, relatives and carers.
• Identify and resolve scheduling conflicts or delays in results.
• Provide cover for the vascular admin and clerical team as needed.

Required profile

• SVQ Level 2 qualification or equivalent experience.
• Minimum 2 years experience in healthcare administration or 3 years in a secretarial role.
• Good understanding of medical terminology.
• Proven ability to work effectively in a team and adapt to change.
• Strong communication skills with patients, clinicians and colleagues.

Required skills

• Proficiency with Trakcare or similar appointment‑booking electronic systems.
• Ability to type dictated clinical documentation accurately and efficiently.
• Knowledge of medical terminology.
